Germantown Country Club is not responsible for loss or damage of any property, which you or your guests bring on the premises or leave on the premises before, during or after the scheduled function. You are responsible for your guests and their actions. If any damage to the premises is made by your guests, you will be liable for any charges for the damages.

Germantown Country Club provides a coatroom, which is not attended. Guests use it at their risk; the Club will not be liable for any loss that may occur.

After the function, it will be your responsibility to remove any decorations or your own equipment on the day of the event (no later). If any decorations or equipment are left on the premises without permission, Germantown Country Club has the right to dispose of them at our discretion. Any excessive cleanup from your function may result in an additional cleanup charge. We do not permit the affixing of anything to the walls, floors or ceilings with nails, staples, tape, tacks or any other substances unless this office gives approval. In the event this is done without our authorization, the cost of repair or replacement for any damage will be billed to the patron.

The hosts for any events are responsible for any and all floral decorations. Decorations, displays or exhibits, if any, brought onto the premises by the patron, must be approved prior to arrival to ensure compliance with local fire code ordinance regulations. Germantown Country Club requests the names and telephone numbers of any other agent, (i.e. florist, baker and entertainer) that you may have engaged for your function, no later than 5 working days prior to your event. Outside agents must schedule with the office all times for delivery, set up, etc.

Germantown Country Club does not furnish any audio/visual equipment for your event. You will be responsible for any TV’s, VCR’s, projectors, projector screens, etc. We have a small table podium with a microphone available for use if requested by the patron. There will be a $25.00 phone line charge, per phone, if a phone line is necessary for your event.

BILLING and CANCELLATIONS

If a function must be cancelled, the deposit will be refunded in full if the Club has received notification of the cancellation at least 90 days prior to the function. It will be at the discretion of the Club whether to refund a deposit if a cancellation notification is received less than the required time prior to the scheduled function.

DRESS CODE and CONDUCT

Proper attire is expected within all venues of the Club premises. This could be described as business casual. It does not include collarless shirts, athletic shorts, or skirts or shorts more that 4” above the knee. We do not encourage denim. If denim is worn, we require that it be in good condition, not ragged, frayed, cut off or containing holes.

Proper etiquette is expected within all venues of the Club. Non-members are invited guests, at the discretion and pleasure of the membership.

Guest functions are limited to the space that has been reserved. Our membership appreciates the fact that roaming through the Clubhouse is not permitted.

FINAL CONFIRMATION

Approximate number of guests expected is to be given at the time of initial booking; however, we must have a guaranteed amount no later than three (3) working days prior to your function. Guaranteed counts are the minimum number your group will be charged for the function. If fewer guests attend your function, you will be charged for the guaranteed number. We will be prepared to serve no more than 5% over your guaranteed number. It is your responsibility to inform the Catering department of your guarantee of guests. The Catering department will attempt to get your count, but if we receive no guarantee, we will consider your last estimated number of attendees as the guarantee and you will be billed that amount as the minimum

ROOM AVAILABILITY and ROOM USAGE

Germantown Country Club is a private club and we only offer our facilities to current members or persons sponsored by current members. All non-members must have a letter from a current member stating their willingness to sponsor their event. No event is considered definite until a letter is on file along with the initial deposit. A facility fee may be charged for the use of our facilities for non-members. The date of the function, type of function, length of time and materials needed to properly serve your function determines this charge. This amount can be quoted prior to you reserving the date of your function.

Germantown Country Club has two rooms available for your use. The ballroom, located on the west end of the Clubhouse, is approximately 2400 square feet and may accommodate up to 170 guests for banquet dining. This room will accommodate approximately 125 guests with room for entertainment and a dance floor. The main dining room, located on the north side of the Clubhouse, is approximately 2000 square feet and will accommodate up to 100 guests for banquet dining. Together the two rooms total approximately 4400 square feet and can accommodate up to 400 guests for wedding receptions and cocktail buffets.

The number of hours the room(s) will be in use is expected to be given at the time of initial booking. The hours of usage will be finalized a minimum of 10 days prior to the event, along with the food and beverage menus. This time will include breakdown time for entertainers. Time that exceeds the contracted usage time may result in a labor fee of $100.00 plus tax per hour. Standard operating hours for Germantown Country Club functions are 8:00 am until 12:00 am. Hours may exceed standard times if arrangements are made in advance with the Catering department.

If attendance drops or increases, we reserve the right to change, without notification, the location of your function or meeting. A minimum charge on food and beverage may apply at the discretion of the Manager.

Room setup is requested within a minimum of 10 days prior to the function. If no room setup is finalized the room will be arranged at the discretion of the Catering staff. If a setup is changed within 48 hours of the function a labor fee of $100.00 plus tax will be charged.

Packages may be left in the Clubhouse office no sooner than 3 days prior to an event. Please have all packages labeled to indicate the event, date and name of the host. If packages will be shipped, please make arrangements with the Catering staff. Germantown Country Club cannot be responsible for any damages or loss to shipper’s materials. The client is responsible for all shipping charges incurred.

MENU SELECTION and FOOD and BEVERAGE

Once you have selected a date, we will reserve the date on a tentative basis for a period of (30) thirty days. At the end of that time, we will require a $350.00 deposit to continue reserving the date for your use. Our printed menus are only a general guideline. Our catering staff will be at your service to create custom menus for your event. We enjoy assisting you with your every need. Let our staff show you special attention guaranteeing the success of your event. Due to fluctuations in food cost, menu prices can only be guaranteed (60) sixty days in advance of your event. All prices are subject to change without prior notification unless stated in your contract.

Your menu selections must be finalized within a minimum of 10 days prior to your scheduled function and are not subject to change. When your menus are finalized, Germantown Country Club will prepare a banquet agreement with all items listed. The agreement must be signed and returned to the Club with a payment of your total estimated cost no later than (3) three days prior to your event. Payment may be made by check or credit card. Germantown Country Club accepts Visa, Master Card and American Express.

All food and beverage prices are subject to an 18% service fee and the current local/state tax of 9.25%. If your group is tax exempt, we require a copy of the Tennessee Federal Tax Exemption Certificate to be on record prior to your function. The current local/state tax of 9.25% will be added to all facility fees and other charges. The beverage tax on liquor and some of our wine sales is included in the listed price.

Germantown Country Club will provide all food, beverages and personnel to ensure proper service for your event. No food or beverages, with the exception of specialty cakes, may be brought onto Club premises. Germantown Country Club will purchase any special items requested from a licensed purveyor. If there is a failure to comply with this policy, we reserve the right to charge an additional amount to your bill. Germantown Country Club has the right to refuse entry of any patron and/or has the right to remove any patron that attempts to not comply with this regulation. Due to health and liquor laws, no food will be allowed to be removed from the premises without prior approval from the manager. The law states that no liquor will be removed from the premises, NO exceptions. Germantown Country Club reserves the right to refuse alcoholic beverage service to any person who, in the opinion of the Club, has reached the point of intoxication.

Germantown Country Club is a private club and we only offer our facilities to current members or persons sponsored by current members. All non-members must have a letter from a current member stating their willingness to sponsor their event. No event is considered definite until a letter is on file along with the initial deposit. A facility fee may be charged for the use of our facilities for non-members. The date of the function, type of function, length of time and materials needed to properly serve your function determines this charge. This amount can be quoted prior to you reserving the date of your function.

Germantown Country Club has two rooms available for your use. The ballroom, located on the west end of the Clubhouse, is approximately 2400 square feet and may accommodate up to 170 guests for banquet dining. This room will accommodate approximately 125 guests with room for entertainment and a dance floor. The main dining room, located on the north side of the Clubhouse, is approximately 2000 square feet and will accommodate up to 100 guests for banquet dining. Together the two rooms total approximately 4400 square feet and can accommodate up to 400 guests for wedding receptions and cocktail buffets.

The number of hours the room(s) will be in use is expected to be given at the time of initial booking. The hours of usage will be finalized a minimum of 10 days prior to the event, along with the food and beverage menus. This time will include breakdown time for entertainers. Time that exceeds the contracted usage time may result in a labor fee of $100.00 plus tax per hour. Standard operating hours for Germantown Country Club functions are 8:00 am until 12:00 am. Hours may exceed standard times if arrangements are made in advance with the Catering department.

If attendance drops or increases, we reserve the right to change, without notification, the location of your function or meeting. A minimum charge on food and beverage may apply at the discretion of the Manager.

Room setup is requested within a minimum of 10 days prior to the function. If no room setup is finalized the room will be arranged at the discretion of the Catering staff. If a setup is changed within 48 hours of the function a labor fee of $100.00 plus tax will be charged.

Packages may be left in the Clubhouse office no sooner than 3 days prior to an event. Please have all packages labeled to indicate the event, date and name of the host. If packages will be shipped, please make arrangements with the Catering staff. Germantown Country Club cannot be responsible for any damages or loss to shipper’s materials. The client is responsible for all shipping charges incurred.

MENU SELECTION and FOOD and BEVERAGE

Once you have selected a date, we will reserve the date on a tentative basis for a period of (30) thirty days. At the end of that time, we will require a $350.00 deposit to continue reserving the date for your use. Our printed menus are only a general guideline. Our catering staff will be at your service to create custom menus for your event. We enjoy assisting you with your every need. Let our staff show you special attention guaranteeing the success of your event. Due to fluctuations in food cost, menu prices can only be guaranteed (60) sixty days in advance of your event. All prices are subject to change without prior notification unless stated in your contract.

Your menu selections must be finalized within a minimum of 10 days prior to your scheduled function and are not subject to change. When your menus are finalized, Germantown Country Club will prepare a banquet agreement with all items listed. The agreement must be signed and returned to the Club with a payment of your total estimated cost no later than (3) three days prior to your event. Payment may be made by check or credit card. Germantown Country Club accepts Visa, Master Card and American Express.

All food and beverage prices are subject to an 18% service fee and the current local/state tax of 9.25%. If your group is tax exempt, we require a copy of the Tennessee Federal Tax Exemption Certificate to be on record prior to your function. The current local/state tax of 9.25% will be added to all facility fees and other charges. The beverage tax on liquor and some of our wine sales is included in the listed price.

Germantown Country Club will provide all food, beverages and personnel to ensure proper service for your event. No food or beverages, with the exception of specialty cakes, may be brought onto Club premises. Germantown Country Club will purchase any special items requested from a licensed purveyor. If there is a failure to comply with this policy, we reserve the right to charge an additional amount to your bill. Germantown Country Club has the right to refuse entry of any patron and/or has the right to remove any patron that attempts to not comply with this regulation. Due to health and liquor laws, no food will be allowed to be removed from the premises without prior approval from the manager. The law states that no liquor will be removed from the premises, NO exceptions. Germantown Country Club reserves the right to refuse alcoholic beverage service to any person who, in the opinion of the Club, has reached the point of intoxication.
